Lakeshore is currently recruiting for an Office Manager to work for an international financial services organization in their newly acquired U.S. head office in downtown Chicago.
Our client has over 38,000 employees and over 8 million customers around the world. They are profitable, entrepreneurial and in the process of taking advantage of opportunities identified in the U.S. market.

Responsibilities will include, but are not limited to the following: - Managing general operations of the building and premises
- Overseeing office maintenance including organization and coordination of administrative matters (i.e. ordering and securing supplies)
- Developing and implementing office policies ensuring standards and procedures are communicated to all employees
- Maintaining the overall aesthetic appearance of the office space
- Providing sufficient training and coaching to all managers with respect to office technology
- Assisting with new hire on-boarding
- Managing projects by planning and organizing administrative functions and resources to guarantee goals and deadlines are met in a timely manner
- Researching and implementing new work methods to improve efficiency within office
- Granting facility access to employees and visitors as needed
- Monitoring internal and external documents, reports, and presentations to ensure content meets company specifications
- Overseeing the inventory control and office supply process
- Serving as point of contact for all third party vendors associated with equipment and supplies
- Approving equipment and service invoices for payment and maintaining corresponding records
- Providing time and calendar management for internal employees
- Developing and managing the office budget to include costs associated with employees, supplies, and equipment
Qualified candidates will meet the following requirements: - 5+ years of experience working in an office environment
- Financial or professional services experience desired
- BA or BS in related field
- Proficiency in Microsoft Office software programs
- Openness to accept new projects and assignments that stretch the boundaries of responsibilities
- Must be a committed team player with the ability to function both independently and as part of a team
- Possess strong verbal and written communication skills
- Function efficiently in a fast-paced environment
- Ability to complete multiple projects simultaneously
- Willingness to actively participate in learning activities to gain a better understanding of the business and industry
- Communicate effectively with customers to display a high level of customer awareness
- Possess the motivation to take the initiative to proactively solve problems and implement office improvements
- Must have strong planning and organizational skills
